About the role

We are seeking a proactive and organised Administration Assistant to provide high-quality administrative support to our Short Stay and Day Surgery Unit.

In this important role, you will help ensure the smooth day-to-day operation of the service by coordinating administrative processes, maintaining accurate records, and supporting caregivers, clinicians and patients throughout their care journey.

As a key member of the team, you will deliver exceptional customer service to patients, families and internal stakeholders while contributing to a welcoming, efficient and patient-focused environment. Your strong organisational skills, attention to detail and ability to manage competing priorities will be essential to your success.

The role is offered on Casual basis.

Key responsibilities

  • Provide high-quality administrative support to the Short Stay and Day Surgery Unit.
  • Coordinate and prioritise workflow to ensure tasks are completed within required timeframes.
  • Organise meetings, prepare and distribute minutes, correspondence and other documentation.
  • Manage departmental communications, including phone, email and customer enquiries.
  • Coordinate service events, including venue, equipment and catering arrangements.
  • Maintain accurate records, produce reports, and support data collection and analytics activities.

 

Your skills and experience

You will bring previous experience in an administrative role, supported by advanced Microsoft Office and word processing skills, excellent organisational abilities, and the capacity to manage competing priorities. You will be a confident communicator with a strong customer service focus, able to build positive working relationships with a diverse range of stakeholders while delivering efficient and effective administrative support.

Working both independently and as part of a collaborative team, you will demonstrate initiative, attention to detail, and a commitment to providing high-quality administrative services. Experience in a healthcare environment, an understanding of quality improvement principles, and a Certificate or Diploma in Business (or equivalent vocational experience) will be highly regarded.
